Common uses
Understand why different users see different equipment or can perform different actions.
Choose the right permission level for a colleague or an external project user.
Distinguish between administering the company, managing equipment at a place and administering a project.
Requirements
You are logged in to Infobric Equipment and have selected the correct company or project.
You are linked to the company or project you will be working in.
You must be a company administrator to administer the company. A role at a place or in a project does not automatically grant this permission.
If the company uses departments, your access may also depend on which department you belong to and whether you are a department administrator.
Get started
On the web
In the company's administration view, you will find Admin → Users → Company for company users and Admin → Users → External for external project users.
For a place, users and teams are shown under Members. In a project, Users and Permissions show the project's users and their access.
The administration view and your ability to change information depend on your permissions. Being a company user does not mean that you are a company administrator.
In the app
As a company administrator, you will find the company's users under Menu → Users. The place's users are shown under Members.
The place's role options include Member and Equipment manager. The detailed project permissions are described here based on the web view.
What you can do in Users and permissions
Distinguish between permission levels
Level | What it applies to | Example |
Company permissions | Your link to the company and your right to administer it. | Company user or company administrator. |
Place role | Your role at a specific place, directly or through a team. | Member or Equipment manager. |
Project permissions | Your access and permitted actions in a specific project. | Admin and separate options for viewing prices or changing return dates. |
The same person can be a company user, an equipment manager at a place and an administrator in a project. This does not make them a company administrator.
Understand the user types
Company user
A company user is linked to the company. They can work with the places and projects they have access to. Links to places can be direct or through a team.
The equipment shown also depends on the company's settings. The All users can see all equipment setting can provide broader visibility than place links alone. This setting is not used when the company works with departments.
Being able to see equipment is not the same as being allowed to edit or delete it.
Company administrator
A company administrator is a company user with administrative permissions in the company. They can administer company users and the company's projects, and manage the company's equipment.
External project user
An external project user belongs to a project but not to the company. Access to the project's items and functions is controlled by the project link and project permissions.
Adding someone to a project does not make them a company user or company administrator.
Department administrator
If the company uses departments, a user can be an administrator in a department. This grants administrative rights within that department's scope, not company administrator permissions for the entire company.
Understand the place roles
Member
A membership links the user to the place. It can be a direct membership or granted through a team.
For company-owned equipment, the original creator can edit the equipment they created. Membership alone does not grant the right to edit all equipment at the place.
Equipment manager
An equipment manager can edit company equipment that has this place as its Home place, even if the equipment's Current place is elsewhere.
The home place indicates where the equipment belongs. The current place indicates where it is located. Equipment being moved to your place does not automatically give you permission to edit it.
Someone who is only an equipment manager cannot add or remove members or change their roles at the place. Additional company administrator, department administrator or place administrator permissions are separate from the Equipment manager role.
Administrator at a place
An administrator at a place can add or remove members and change their roles at that place. The role does not grant administrative permissions for the entire company. A place administrator is not the same as a company administrator or the Equipment manager role.
Create and move company-owned equipment on the web
For the company's own equipment on the web, Member and Equipment manager at storage places can create and move equipment between places.
When changing the Current place, the user does not need to be a member or equipment manager at the destination.
An equipment manager at a storage place can also change the Home place for equipment whose existing home place is a place where they are an equipment manager. The Member role does not grant this right by itself.
This section does not cover the app's equipment creation and movement flows, project-owned equipment or rented equipment.
Understand project permissions
A project administrator can add or remove project users and grant project permissions. Company administrators can also administer the company's projects.
For other project users, check which permissions have actually been granted, not just whether the person is a project member.
The company's administration view on the web has the following options:
UI label | What the option controls |
Admin | The right to administer the project's users and permissions. |
See all items | Whether the user sees all items in the project view or only items linked to them. |
See prices | Access to prices, costs and statistics. |
Change return date | The right to set and change the estimated return date for items. |
Change responsible | The right to select and change the user responsible for items. |
Book transports | The right to book return transport when the project has the transport function. |
Allow access to rental company data | Which rental companies' items and item information the user can access. |
Project administrators have broad project permissions. For other users, the project's settings can restrict access.
Project permissions are not a general role for all company-owned equipment. Company-owned equipment also follows the company's rules for access and management.
Understand why access can differ
You can have a place role both directly and through a team. On the web, Membership overview shows the links and the Resulting role.
The company's visibility setting and departments can affect which places and equipment you see.
The right to create a place can be restricted by the department's settings. Being a member or equipment manager does not guarantee this right.
The app and web do not always show the same administrative options. An option missing from a view does not mean that the user has been given different company permissions.
Tips!
Start with what the person needs to do and at which level. Do not grant company administrator permissions just because someone needs to work in a project.
Check both Home place and Current place when it is unclear who can edit equipment.
Check direct memberships, team links and project permissions before changing access.
